Manage Your Storage

  • Limit Recording Duration: Only record key points, topics, or discussion rather than the entire class session or meeting.
  • Clean Out Regularly: Review and delete unused recordings at the end of each semester.
  • Download to Save: Locally download existing cloud recordings or upload them to alternative storage (like Google Drive) if you wish to keep them beyond 365 days. 
  • Delete Unneeded Files: Promptly delete recordings you no longer use or wish to share.

Retention and Privacy Policies

  •   365-Day Deletion: Cloud recordings are automatically deleted after they have been stored for 365 days.
  • Recovery Window: Deleted files remain in the Zoom Trash folder for 30 days before they are permanently deleted.
  • Privacy and FERPA Compliance: Federal privay laws prohibit the reuse of recorded lectures where students are identified (by name, image, or voice) without a signed release from every students present.
  • Semester Rollover: Unless you have outstanding "Incomplete" grades or specfic program accreditation requirements, recordings from previous semesters should be deleted.

Instructional Design Tip: "Chunking"

  • When uploading recordings directly to a Canvas course or Canvas Studio, please make sure to  Segment content into "chunks" (15 minutes or less).
  • Organize and label recordings by specific topic or learning objectives rather than by date or length. This reduces cognitive load, improves mobile accessibility, and allows students to quickly locate and review key concepts.
